Job Overview:
We are looking for a compassionate and organized Front Desk Receptionist to join our veterinary clinic. You will be the first point of contact for clients and their pets, ensuring they have a positive and welcoming experience. Your role is vital to maintaining smooth front office operations, including client communication, appointment scheduling, and managing administrative tasks.
Key Responsibilities:
• Greeting Clients and Pets: Welcome clients and their pets warmly upon arrival, ensuring they feel comfortable.
• Appointment Management: Schedule and confirm veterinary appointments, surgeries, and follow-up visits using the clinic’s scheduling software.
• Phone Handling: Answer incoming calls, respond to inquiries, and direct calls to the appropriate veterinary staff.
• Check-In/Check-Out Procedures: Assist with client check-ins, verifying information, updating patient records, and processing payments.
• Client Communication: Provide updates on their pets, confirm follow-up appointments, and send reminders for vaccinations and routine check-ups.
• Patient Record Maintenance: Manage patient records, ensuring accuracy and confidentiality of information.
• Payment Processing: Handle cash, credit card transactions, and other payment methods efficiently, issuing invoices as needed.
• Waiting Room Management: Ensure the reception and waiting areas are clean, organized, and comfortable for both pets and owners.
• Support During Emergencies: Facilitate communication between clients and the veterinary team during emergencies, ensuring quick and efficient service.
• Administrative Support: Assist with inventory management, order office supplies, and ensure administrative tasks are completed on time.
Qualifications:
• Education: HND or BSC.
• Experience: Previous receptionist or front desk experience in a veterinary clinic, animal hospital, or healthcare setting is preferred.
• Skills:
• Excellent customer service and communication skills.
• Strong organizational and multitasking abilities.

• Ability to handle stressful situations calmly, especially during emergencies.
• A love for animals and empathy for pet owners.
Additional Requirements:
• Ability to work flexible hours, including weekends and evenings, as the clinic’s schedule demands.
• Comfortable interacting with animals of all sizes and breeds.
• Knowledge of basic veterinary terminology (preferred but not required).
